This Privacy Policy explains how Says She collects, uses and protects personal data submitted through this website, including through the Says She application form, mailing list sign-up and event participation.

Says She is a poetry and spoken word event hosted by Martina Keegan and Jan Brierton.

For the purposes of data protection law, Says She is the controller of the personal data collected through this website and in connection with Says She applications and events, unless otherwise stated.
2. Personal data we collect
When you submit an application, sign up to the mailing list or contact us, we may collect:
- your name;
- stage name, if provided;
- email address;
- phone number;
- social media handle or website link, if provided;
- poem title;
- poem text submitted with your application;
- estimated reading time;
- information about your live performance experience;
- access requirements or other information you choose to provide;
- confirmation that you can attend the relevant event;
- mailing list preference, if you choose to join the mailing list;
- your message or correspondence with us.
If you are selected for or attend a Says She event, we may also collect or create:
- photographs of you;
- video recordings of you;
- audio recordings of your performance;
- event footage or crowd images in which you appear;
- performer biography, introduction or programme information.
We may also collect basic technical information about website use, such as IP address, browser type, device information and website logs, depending on how the website is hosted and configured.
3. How we use your personal data
We use personal data to:
- receive and review applications;
- assess suitability for Says She events;
- contact applicants about their application;
- organise event programming, running order and administration;

- communicate with selected performers;

- document and promote Says She events;
- send occasional mailing list emails about future Says She events, applications, announcements and related poetry or spoken word opportunities, where you have opted in;

If you are selected for an event, we may use your name, stage name, poem title, short biography, social media handle or website link for event listings, programme materials, introductions and reasonable event promotion.
Says She events may be photographed, filmed, livestreamed or recorded. If you perform at a Says She event, photographs, video or audio recordings of your performance and appearance may be used for event documentation, archive, press, publicity, social media, website, festival promotion and future promotion of Says She and related events.
Submitting your poem does not transfer copyright or publication rights in the written text to Says She. We use the submitted poem text to review your application and organise the event. We will not publish or share the full written text of your submitted poem publicly without your separate permission, although your live performance may be photographed, filmed, recorded and published as described above.
4. Mailing list
If you choose to join the Says She mailing list, we will use your name and email address to send occasional emails about future Says She events, applications, announcements and related poetry or spoken word opportunities.
Joining the mailing list is optional and is not required in order to submit an application.
We rely on your consent to send mailing list emails. You can withdraw your consent at any time by clicking the unsubscribe link in our emails or by contacting us at martina@saysshe.ie.
We may use an email marketing or mailing list provider to manage these emails. Where we use a provider, we will only share the information needed to operate the mailing list.
5. Legal bases for processing
We process personal data under the following legal bases:
Contract or steps before a contract: where processing is necessary to receive, review and respond to your application.
Legitimate interests: where processing is necessary for organising, programming, administering, documenting and promoting Says She events, maintaining website security, and keeping appropriate records. We only rely on legitimate interests where your rights and freedoms do not override those interests.
Consent: where we ask for specific permission, for example for mailing list sign-up, publication of the full written text of a poem, certain uses of photography or filming, or optional non-essential cookies. You can withdraw consent at any time, but this will not affect processing that already took place before consent was withdrawn.

6. Access requirements and sensitive information

Please only provide information that is relevant and useful for the event.
7. Photography, filming and recordings
Says She events may be photographed, filmed, livestreamed or recorded by Says She, The Liberties Festival, event partners, photographers, videographers, media representatives or authorised people working with the event.
This material may include your image, voice, name, stage name, performance, poem title, biography, introduction, audience participation or appearance at the event.
We may use photographs, video and audio recordings for:
- event documentation;
- archive and cultural record-keeping;
- press and publicity;
- social media posts;
- website content;
- festival promotion;
- future promotion of Says She and related events;
- printed or digital programme materials.
We will not sell recordings of your performance or use your image, voice or performance in paid commercial advertising for unrelated products or services without your separate permission.
If you have concerns about photography, filming, livestreaming or recording, please contact us before applying or before the event. We will consider reasonable requests where possible, but because this is a live public event, we may not be able to guarantee exclusion from all crowd, venue or event documentation.
8. Sharing personal data
We may share relevant personal data with people or organisations who help us run the website or event, such as:
- website hosting and form providers;
- email and administration tools;
- mailing list or email marketing providers, where you have opted in;
- event partners, venues or production staff;
- The Liberties Festival or related festival administrators;
- photographers, videographers, livestream or recording providers;
- people assisting with application review or event programming;
- press or media contacts, where relevant to event promotion;
- professional advisers, where necessary;
- legal or regulatory bodies, where required.
We only share personal data where necessary and appropriate.

Mailing list information will be kept until you unsubscribe or withdraw your consent, unless we need to keep a limited record to respect your unsubscribe request.
Selected performer information, event photographs, video, audio recordings, programme information and related promotional materials may be kept indefinitely as part of event records, archive, cultural documentation and the ongoing promotion of Says She and related events.
